Word and Zotero: fix the record before the reference list

A neat reference list can still cite the wrong record. In Word and Zotero, first decide whether a problem belongs to the library data, the citation settings or the document's appearance.

The same visible error can need a different fix

Before retyping a reference, locate the part of the workflow that produced it.

For thesis writers and researchers using the desktop Zotero Word plugin. This guide covers installation checks, record verification, document settings, citations, bibliography formatting and delivery. It does not replace a university template or journal instructions. Word's built-in reference tools, Word on the web and other word processors have different workflows.

1. Verify the plugin in a small document

The word processor plugins come with Zotero. If the Zotero tab is missing, close Word, open Zotero settings and use the Cite section's Word processor plugin installation control, then restart Word. Follow the official platform-specific instructions if it is still absent. [1] [5]

Our suggested checkpoint: use a blank practice document before opening the thesis. If that works while an existing document fails, follow the document troubleshooting path; the two situations need different investigation. Do not make your only thesis copy the test file. [5]

2. Verify the record, including what the identifier retrieved

Add Item by Identifier accepts identifiers including DOI, ISBN and PubMed ID. Importing a record does not finish the verification: metadata can be incomplete or incorrect. Check the item type, creator names, title and publication details against the work. For an organisation as author, Zotero offers a single-field name mode. [2]

APA describes a reference through author, date, title and source. Use those four questions to inspect the entry rather than accepting a suggested citation without checking it. [7]

Our record audit: open the publication beside the saved item. Ask whether they identify the same work and version. Correct the library entry first, then refresh the document. Sentence-case conversions still need human checking, particularly for proper names and acronyms. A plausible DOI or an all-capital title is a reason to inspect, not a verdict about the work. [2]

3. Choose a document style and test its language

Document Preferences controls the citation style and output language. Fields is the usual Word choice; collaboration with LibreOffice is an exception described in the documentation. Choose the style your institution or journal actually requests. [3]

Our suggested acceptance test: before writing a chapter, insert a one-author and a multiple-author practice citation, then inspect the reference list. For an English manuscript, check English output. A language selection is not proof that every term, conjunction or punctuation mark matches a local rule. Keep the institution's current example beside your output.

4. Edit the citation through its controls

Use Add/Edit Citation to select a library item. Open its citation bubble to add a page locator, prefix or suffix. For an author-date narrative citation, Omit Author leaves the year in the generated citation while you write the author's name in the sentence. Multiple works can be added within one citation. [3]

Direct edits to generated citation text can stop later automatic updates. Prefer the citation controls while drafting; an exceptional manual adjustment belongs in a deliberately prepared final copy. [3]

5. Separate reference content from paragraph appearance

Add/Edit Bibliography creates the document's bibliography, and Refresh updates it after library changes. The bibliography editor can also include uncited works, so the list needs an intentional audit. [3]

If the entries identify the right works but look wrong, inspect the paragraph styles. Zotero's guidance distinguishes Word's Normal/Standard style for generated citations from Bibliography for the reference list. Adjust font and paragraph settings there when needed, then inspect the result again. [4]

Our formatting check: compare one short and one long entry with the required template. Inspect hanging indentation, wrapping and spacing together. Do not assume that changing a font also corrects the author list, citation style or source data. A thesis template and a journal's submission rules may differ.

6. Keep an editable master when making a static copy

Unlink Citations removes Zotero field codes and prevents further automatic updates. Zotero describes this as irreversible and normally appropriate only in a final copy. It is not a universal requirement for every submission. [3]

Our handover recommendation: keep a clearly named linked master, such as Thesis-master-linked.docx. If a static file is needed, save a separate Thesis-delivery-static.docx and unlink only that copy. Reopen both files and confirm which one you will continue editing. After later revisions, regenerate the delivery copy from the master instead of maintaining two competing texts.

A practice audit: three symptoms, three decisions

Invented training scenario, not a real publication or a measured software test. Your practice document has an incorrect year, a missing page locator and a reference list in the wrong font. The table is an editorial exercise applying the documented controls.

The diagnostic order matters: repairing appearance cannot establish that a source exists, and correcting an item does not settle every page-specific citation choice. Record what you checked, the change made and the remaining uncertainty. [2] [3] [4]

Leave a checkable document, not just a tidy list

This is our suggested final audit, rather than a claim that software guarantees compliance.

  1. Can I identify the actual work behind each imported record, including its authors, date, title and source?
  2. Does the selected style match the current thesis or journal instructions, and have I checked its language output?
  3. Are locators and narrative citations represented through the citation controls rather than typed over the generated text?
  4. After refreshing, do the citation and bibliography changes agree with the records I intended to use?
  5. Can I reopen an editable master, and have I checked any separate delivery copy after saving it?

Two decisions before handover

Must I unlink citations before sending a thesis?

Check the actual delivery requirement. Keep the linked master for revisions; if a static copy is required, prepare it separately. [3]

Does a generated reference prove I cited the right work?

No. Inspect the saved record and its correspondence with the publication. Automatic formatting does not replace that check. [2] [7]

The relevant documentation sections were read on 16 October 2026. Zotero is the primary authority for the plugin controls; APA supports the reference-entry checks. The practice audit and acceptance checks are editorial recommendations. No error rate, time saving, current version number or thesis acceptance outcome is claimed.
