Match citations and references in both directions
Begin with identity, not punctuation. Create one set of author–year citations from the manuscript and one set of entries from the reference list. Every in-text citation should lead to one list entry, and every list entry should have a purpose in the current manuscript.
Under APA 7, works with three or more authors are cited using the first author's name plus 'et al.' from the very first in-text mention (e.g., Smith et al., 2024). The legacy APA 6 rule requiring up to five authors to be written out on first reference has been superseded.
Isolate orphaned entries left behind after revising draft paragraphs, and verify that generative AI assistants have not introduced fabricated or hallucinated citations into your draft.

Verify the bibliographic record
Check author order, publication year, title, journal or publisher, volume, issue, page range and article number against Crossref Simple Text Query or official journal archives. A reference copied from another paper can preserve that paper’s typo or cite an earlier version.
Under APA 7, publisher location (city, state, or country) is completely omitted for books—only the publisher's name is retained. For journal articles with an electronic article number instead of continuous pagination, format as 'Article e0241512'.

Resolve and match every DOI
A DOI should open successfully and identify the work described in the reference. Present verified DOIs as standard resolved URLs formatted as 'https://doi.org/10.xxxx/...'. Do not prepend 'doi:', 'DOI:' or deprecated 'http://dx.doi.org/'. Crucially, never place a period after a DOI URL, as this breaks resolution.
When an article lacks a DOI, apply the following decision rule: never include institutional database URLs (e.g., EBSCO, JSTOR, ProQuest) requiring login credentials. The reference ends like a print article with volume, issue, and pages. For freely accessible open-access web publications, supply the direct permanent URL without 'Retrieved from'.

Identify the version actually cited
A preprint (arXiv, bioRxiv, SSRN), accepted manuscript and peer-reviewed Version of Record (VoR) may have different publication years, titles, pagination and identifiers. Determine which version the author used and cite that version consistently.
If a final published article is available, replacing a preprint with the VoR improves academic traceability. In addition, query Crossref Crossmark on the publisher's site to verify that the article has not been subject to a post-publication correction (corrigendum) or retraction.

Apply APA 7 by source type
APA rules differ for journal articles, books, edited chapters, dissertations, reports, webpages, datasets and conference proceedings. Titles of articles and books must strictly follow sentence case: capitalize only the first word, the first word after a colon or dash, and proper nouns.
Italicize the journal title and volume number; set the issue number in parentheses in normal (non-italic) type immediately after the volume (e.g., *Journal of Research*, *12*(3), 45–60).

Control duplicates, author names and ordering
APA 7 allows up to 20 authors to be listed in full in the reference list. When a work has 21 or more authors, list the first 19 authors, insert an ellipsis (...), and add the final author's name without an ampersand.
Order the reference list alphabetically by author surname, and order multiple works by the exact same author chronologically from earliest to most recent. Differentiate works by the same author in the same year by appending lowercase letters (e.g., 2024a, 2024b) based on title alphabetization.

Repeat the check after final revisions
Citation matching becomes outdated whenever text is added, removed or moved. Run the reconciliation again after the final substantive revision and before producing the submission files.
When converting Zotero or Mendeley word-processor field codes to static text or exporting to PDF, manually verify that hanging indents (0.5 in / 1.27 cm), line spacing, and clickable hyperlinks remain intact throughout the bibliography.

FAQ
Does every academic source have a DOI?
No. A DOI should be added only when one exists and can be matched confidently. Some source types, historical papers, government reports and regional publications have no DOI; never invent an identifier.
What should be done if an article has no DOI?

How are works with three or more authors cited in-text under APA 7?
From the first citation onwards, list only the first author followed by 'et al.' (e.g., Smith et al., 2024). The legacy APA 6 requirement of listing up to five authors on the initial citation has been abolished.
Is a reference manager enough to guarantee APA 7 accuracy?
No. Reference managers apply stored metadata. Incorrect source type, missing fields or imported errors can produce a consistently formatted but inaccurate reference.
